Receptionist/Administrator

POSITION TITLE: Receptionist/Administrator   

    

REPORTS TO: Executive Manager
 

Primary Objective 

The Westman Youth for Christ (WYFC) Receptionist/Administrator will work as part of a team who is responsible for the first point of contact for youth, youth-serving agencies, ministry partners, community members, and others along with the financial health of our organization.
This position may change from part time to full time as the opportunity arises.

Responsibilities

MINISTRY/ADMINISTRATION DUTIES (60%)
  1. Perform front desk activities and communications
  2. Work as part of the finance team to perform certain aspects of bookkeeping as needed (eg: may include accounts payable, accounts receivable, deposits, bank reconciliations, etc.)
  3. Maintaining and filing written and computerized records as required
  4. Provide administrative support for the rest of the WYFC team as required
  5. Adhere to the WYFC Policy Manual.
  6. Assist in the upkeep of WYFC office.
 
COMMUNITY RELATIONS (15%)
  1. Participate in communication with the wider community
  2. Provide support for staff, and their ministry partners and the youth in our programs
  3. Represent WYFC positively to the community.
  4. Nurture strong working relationships with YFC/YU staff, and other agencies and ministries.
 
MEETINGS (10%)
  1.  Meet with supervisor regularly
  2. Attend WYFC and ministry team meetings
 
PARTNER DEVELOPMENT (10%)
  1. Personal partnership development – which includes securing and maintaining a sound base of financial & prayer partners
  2. Keep ministry partners updated through regular communications and prayer requests. Encourage prayer partners to pray for youth in Westman and globally.
 
SPIRITUAL AND PERSONAL DEVELOPMENT (5%)
  1. Be a faithful and contributing member of a local church.
  2. Pray for and with WYFC Team.
  3. Spend time in spiritual reflection and development, and regular prayer days.
  4. Attend YFC Regional and National conferences.
  5. Participate in training and development courses, conferences and workshops as approved by supervisor.

QUALIFICATIONS AND SKILLS
  • Applicants must reflect on and sign the WYFC Statement of Faith and Community Covenant
  • Precision, detail-oriented, patience, creativity, flexibility, compassion, and sensitivity to all persons and able to exercise discretion, compassion, and empathy, and maintain confidentiality
  • Experience and/or education in bookkeeping and/or accounting including working knowledge of QuickBooks, and basic knowledge of the Microsoft Office Suite
  • Experience working in Power Church is considered an asset but not required.
  • Effective interpersonal and time-management skills
  • Able to work independently as well as in a team setting and utilize sound judgment to perform all assigned duties with minimal supervision
  • A confident self-starter, able to meet challenges, and to overcome obstacles
  • Must pass criminal record check, child abuse registry check and vulnerable sector check
